Privacy Policy

This policy explains what information LeagueHero collects when you use our sports league management platform, why we collect it, and how you can control it. We wrote it in plain English on purpose — if anything here is unclear, email us at [email protected] and we'll explain it better (and probably fix the wording).
What We Collect
Account information. When you sign up, we collect your name, email address, and password (stored encrypted, never in plain text). If you sign in with Google, we receive your name and email from your Google account.
Organization and league content. If you run a league, we store what you create: your league and season setup, divisions, schedules, game results, standings, rosters, waiver text, announcements, and messages you send through the platform.
Registration data. When a player or guardian registers for a league, we collect the registration details the organizer requires — things like player name, date of birth, emergency contact, and any waiver signatures or documents the organizer asks for.
Payment data. Payments are handled by Stripe, our payment processor. We never see or store your card number, expiration date, or CVC — that information goes directly to Stripe. We do store payment metadata like the amount charged, the date, and the Stripe transaction reference, so organizers and players can see their payment history.
Analytics
We use first-party, self-hosted analytics to understand how people use LeagueHero — which pages get visited, which features get used. This runs on our own servers, not a third-party advertising network. IP addresses are masked before we store anything, so we're not tracking you individually across the web. We don't run third-party advertising trackers, and we don't sell your data to anyone, ever.
Cookies
We use two kinds of cookies. An essential session cookie keeps you signed in and remembers things like your theme preference — the site doesn't work properly without it. A first-party analytics cookie helps us tell returning visits from new ones, feeding the self-hosted analytics described above. Neither cookie is used for advertising, and we don't allow third-party ad or tracking cookies on the site.
Children's Data
LeagueHero is used by youth sports leagues, so a lot of the players in our system are minors. We handle this by never letting children create their own accounts: a child's profile is created and managed by a parent or guardian, under the guardian's own account. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided us information directly, contact us and we'll remove it.
We send transactional email related to your leagues — things like registration confirmations, game reminders, schedule changes, and messages from your organization. We don't send marketing email unless you've asked for it, and transactional messages about games you're signed up for aren't optional promotions — they're how the platform tells you what's happening with your team.
Data Retention and Deletion
We keep your data for as long as your account or organization is active, plus a reasonable period afterward for records like payment history that organizers and players may need to reference. If you want your data deleted, email us at [email protected] and we'll delete it, except where we're required to keep certain records (like payment history) for legal or accounting reasons.
Third-Party Processors
We rely on a small number of trusted vendors to run LeagueHero. Each only receives the data it needs to do its job:
- Stripe — processes payments and payouts. We never store your card details.
- Resend — delivers the transactional emails described above.
- Railway — hosts our servers and database.
